HIPAA and voicemail — keep messages short

Call back prompts are safer than detailed clinical updates on a machine.

TL;DR

Leave name, callback number, and generic purpose—never test results or diagnoses on voicemail unless you know only the patient listens.

Updated 2026-04-21

Voicemail is semi-public. Family members, roommates, or wrong numbers can hear messages meant for someone else.

Safe pattern

"This is Alex from Dr. Chen's office; please call us back at 555-0100 regarding an appointment." No clinical detail.

If the patient asked for results by phone

Verify callback number against the chart. If unsure, do not leave clinical content—ask them to call or use a patient portal.

Callback documentation

Note who left the message and when so the care team can follow up consistently.
